How it works
Three exports in. Every gap, priced and explained.
ProxIsle sits alongside the systems you already use. It reads your council orders, delivered hours and invoices, matches them for every person you support, and shows you where the money doesn't line up.
Step oneWhat we need
The files you already produce.
| Source | What's in it | Where it usually comes from |
|---|---|---|
| Ordered | Each person's council order: package reference, core and 1:1 hours, sleep-ins, hourly rates, start and end dates | Council provider portal, purchase orders, brokerage emails |
| Delivered | Shifts and support actually given, by person and date | Your rostering system or digital care record |
| Billed and paid | Invoices or actuals submitted, and what each council paid | Your finance system and council remittance advice |
Spreadsheet or CSV exports are enough to start. Live connections to your systems come later, once you've seen the value.
Step twoWhat we check
Every way the three can disagree.
- Delivered, not invoicedHours within the council order that were never billed.
- Delivered above the orderExtra support that needs a package change, backdated where possible.
- Care with no order in placeNew starters, ended packages and gaps between orders.
- Invoiced more than deliveredOver-claims to credit before a council audit finds them.
- Wrong rateAnnual uplifts not applied, or old rates still on invoices.
- Short-paid or overdueRemittances that don't match and payments past their terms.
- Shared hours split correctlyCore hours in shared houses divided fairly between tenants.
- Matched over the right periodWeekly or four-weekly, so flexible support doesn't create false alarms.
Step threeWhat you get
A monthly answer your finance director can act on.
- The exceptions listEvery gap, its value in pounds and the next step.
- Evidence packsThe orders, shifts and invoices behind each query, ready to send to the council.
- A recovery trackerWhat's been chased, what's come back and what's still open.
- A one-page board reportRecovered, protected, still at risk, and days from care to cash.
Data and securityBuilt for care data
Your data stays yours.
Certified. Oparas Ltd holds Cyber Essentials certification and has completed the NHS Data Security and Protection Toolkit.
Minimal data. We work with service user reference numbers and hours, not care notes or health records.
Agreed in writing. Every engagement runs under a data processing agreement. You decide what is shared and with whom, including what any council can see.
Founded by a cyber security graduate. Security is part of how the product is designed, not an add-on.
QuestionsAsked often
Does ProxIsle replace our rota or care record system?
No. ProxIsle reads from the systems you already use. Your staff keep working exactly as they do now.
Do you need access to our systems?
Not to start. Exports from your existing systems are enough for the free check. Live connections are an option later.
How long does the free check take?
We aim to send results within two weeks of receiving all three files.
Which councils do you cover?
We're starting with Manchester and the other Greater Manchester councils, and adding each council's payment rules as providers bring them. Each council pays differently, and those rules are built into the matching.
Does it only work for supported living?
Supported living is our focus, because its shared hours, 1:1 support and four-weekly periods are hardest to reconcile by hand. If you also run home care or care homes, tell us. We're keen to hear what you need.
What if the check finds over-claims?
Then you can credit them on your own terms, before an audit. That protects your relationship with the council and your reputation.
Start with one month.
Three files, two weeks, one clear answer about what your hours are hiding.
